Keeping your stock levels accurate ensures that ordering and availability in Toddoo work as expected. In this short guide, you’ll learn how to set up stock levels for an existing item in your Library.

Start in the Organiser Portal and open the Library area. Search for the item you want to manage and open its details.

Go to the Inventory section — this is where you can control how the system tracks quantities.

First, enter a Default stock level. This number represents how many units are currently available. It also activates stock tracking for this item.

Next, if needed, set order limits:

  • Use Minimum Order to define the smallest quantity a user can order.

  • Use Maximum Order to cap the quantity per order and prevent overbooking.

Then, add a Stock level Threshold to decide when Toddoo should alert you that the stock is running low.

Once all fields are ready, click Save.Your item now has controlled stock levels, and Toddoo will automatically adjust availability as orders come in.

Finally, re-open the item to double-check that all values were saved correctly — you’re done!

  • Used letters or symbols → Only whole numbers are accepted in stock fields.

  • Set threshold higher than stock → Use a smaller number than your current stock to avoid immediate low-stock alerts.

  • Assumed order limits change available stock → Minimum and maximum order values only limit order quantities; they don’t affect total stock.

  • Forgot to save → Always click Save before leaving the page, or your changes will be lost.
